The Role
We’re looking for a highly organised, proactive, and detail-driven Executive & PX Ops Specialist to be the right hand to our CEO and provide essential overflow support to our People Experience (PX) team.
This is a hands-on role perfect for someone who enjoys variety in their day, juggling competing priorities, and anticipating the needs of others. You’ll keep the CEO on track, manage the small but important details that make a big difference, support internal and external event organisation, and support our PX function with key administrative and coordination tasks.
Some of the things that you might be involved in include:
- Managing the CEO’s diary, prioritising time effectively and ensuring they’re where they need to be, when they need to be
- Booking travel, accommodation, and coordinating itineraries for the CEO and other members of the leadership team as required
- Preparing agendas, taking minutes, and managing follow-up actions for Board and leadership meetings
- Monitoring and responding to emails and messages on behalf of the CEO, ensuring timely, professional communication
- Researching and preparing briefing notes for meetings and events
- Deploying AI tools and automation to streamline CEO tasks and increase efficiency.
- Supporting with contract preparation, distribution, and tracking
- Assisting with job description creation, posting, and recruitment admin tasks.
- Drafting HR letters and coordinating their sending and follow-up
- Helping manage onboarding and offboarding processes
- Supporting the planning and delivery of company-wide events such as Christmas parties, monthly social gatherings, investor evenings, and milestone celebrations
We're not looking for a traditional EA - this role is perfect for a budding entrepreneur or someone who is interested in getting a foot in the door at a start-up and growing from there. If you are naturally organised, diligent, tech-savvy, proactive and want to learn then we want to hear from you.
About You
We think you’ll be a fit for this role if you have the following skills/or traits:
- Previous experience in a role requiring a high level of organisational skills, proactivity, and attention to detail (e.g. office/facilities management, UX/UI design, HR administration/recruitment, or customer service)
- Strong document creation and formatting skills
- Comfort taking minutes and managing meeting actions
- Tech-savvy and comfortable adopting AI tools to improve workflows
- A proactive problem-solver who stays two steps ahead
- Professional and discreet, with the ability to handle sensitive information
- Resilient, adaptable, and able to work at pace in a dynamic environment
- Determination and tenacity, maintaining a positive attitude in challenging situations
- Clear, candid and concise communication skills - both written and verbal, but also an ability to be kind and compassionate when dealing with others
Some nice to haves include:
- An ability to leverage AI to build agents and automate workflows
- Exposure to HR, recruitment, or event coordination experience
